3. Separation of Roles: School as Data Controller vs. Self-Hosted Architecture

It is critical to distinguish between our website operations and your school’s use of the plugin:

• Your School’s Parent & Student Booking Data: SchoolSlots Pro is a self-hosted WordPress plugin. All appointment bookings, parent names, student names, teacher consultation hours, and check-in records are stored exclusively in your school’s own local MySQL database. Juhász Péter E.V. does not store, process, host, or have access to any student, parent, or attendee data booked through your school’s website. The educational institution remains the sole Data Controller.
• License & Website Data: Juhász Péter E.V. acts as the Data Controller solely for customer purchase records, license verification, customer support communications, and website analytics.

4. Data Collected on schoolslots.com

When purchasing a license or contacting us, we collect:

• Contact & Billing Details: Name, email address, school or organization name, billing address, and tax/VAT identification number (processed securely through Freemius).
• License Telemetry: Active WordPress version, PHP version, plugin version, and domain name for license validation and automated update delivery.
• Support & Feedback Queries: Information submitted via support emails or the website’s feature request and bug report form.

5. Automated GDPR Data Anonymization Feature

To support educational institutions in complying with strict data minimization and storage limitation rules (GDPR Art. 5(1)(e)):

• SchoolSlots Pro includes an automated nightly GDPR cleanup cron job.
• School administrators can configure a retention window (e.g., 30 days post-conference).
• Once the retention window expires, all personally identifiable information (parent names, student names, contact emails) is permanently and irreversibly purged from past records, while aggregated attendance and turnout metrics are preserved for leadership reporting.
